Why should I use a Stocktaker?
Stock-taker's can provide you with a report that shows what your venue is making in Profit for the period in question and for the whole of your Financial Year as well as Identifying any problem areas that may be reducing Profit at your venue, I can also advise you on how to reduce waste and Increase your venues profit. These are all designed to enhance the stability of your venue. It can also reduce the risk of Fraud & Theft as well as giving you valuable Insight on how your venue is performing and any Issues there may be regarding your Stock.
The most Important things in any Business are STOCK, CASH & Staff Training.
How often should we have a Stocktake?
I recommend a Stocktake be conducted every 28 days though I can go up to a maximum of 92 days. (3 months).
I also do stocktakes for Holiday Hand overs - 7, 10 or 17 days and so on, prices start from £95.00
How long does a Stocktake last?
That depends on over how long the Stocktake is, the longer the period, the longer it takes and also If your having a Food or Bar, Combined Stocktake. Single Stocktakes usually take 3-4 hours, both Food & Bar Stocktakes could take up to 7-8 hours depending on the Days duration and how much paper work there is to process. If you just want me to count the stock and process the result off-site, the count usually takes about an hour or two, you'll get your result via email later that day or the next day at the very latest
What Information do you need to process our venues Stocktake?
I'll need all of the following Information to provide you with your result for the period in question:
1. Copies of all of your Supplier Delivery, Credit notes and Invoices
2. An analysis of your Takings (Food and or Bar)
3. Information on your Line Cleaning and other allowances Including any wastage
4. A complete and comprehensive Till or EPoS report so we can check and verify the Information provided and to check for any Variances and to ensure you get the correct allowances
5. Details on any offers or promotions your may be running
MOST IMPORTANT - Please ensure that all Information is correct at the time of your Stock Audit. Incorrect Information could lead to Incorrect Results, Loss of Profit and jeopardise an employee's job.
Follow these Tips for good stock control:
1. Always check your deliveries on receipt and report any discrepancies Immediately
2. Keep all stock rooms and cellars locked and secure to avoid theft
3. Ensure your Tills or EPoS systems are kept up to date and are accurate
4. Ensure your stock is kept neat and tidy, this avoids miss-counting during a Stocktake and over ordering
5. Ensure your staff are properly trained in how to serve food or drink and how to use the Till correctly
6. Don't leave full bottles of Spirits on the back of the Bar, a lost 1.5L of spirit could cost you at least £120 off your stock
7. Check all equipment in use at your venue is functioning correctly
Can we pre-book our Stocktakes in advance?
Yes, you can book a whole Year in advance if you wish. You can also use the contact form to pre-book your Stocktakes
Can we change or cancel our Stocktakes?
Yes, If you wish to change the date of a Stocktake or Cancel a Stocktake, please try to give at least 48 hours notice
What if we've never had a Stocktake?
That's not a problem, your first Stocktake will be your opening stock with results available from your second Stocktake. If you wish me to follow on from a previous Stocktaker, I'll just need a copy of their last report though I won't be able to guarantee the results accuracy.
How accurate can you get the result?
I'd like to say I can get it 100% accurate but we all know that's Impossible, there are too may variables to skew the result: Over pouring, over serving, staff pilfering, short deliveries not detected, faulty equipment, the list is endless. Rest assured I can guarantee 99%+ accuracy with the count conducted by myself and Information supplied by you and my reports are designed to Identify any problems that need to be addressed.
What Information is in your reports?
My reports contain all of the relevant Information, Stock Items, Cost Prices, Retail Prices, Profit Margins, days stock, sales ratios and closing stock values, examples are available on the Sample Reports page or on request using the contact page
How much is a Stocktake and how do I pay?
My Prices are available on the Prices & Fee's page
I do require payment in CASH, on the day for your first 3 Stocktakes, after that I may be able to offer you 30 day credit terms, subject to a soft credit search
What if we miss some Information for our current Stocktake?
Reports, once Issued, CANNOT be adjusted, if any changes are needed it will show on your next Stocktake as a Correction.
What Profit Margin should we be aiming for?
To ensure a healthy and profitable venue, and based on my experience over the past 40+ years, I would advise any venue to aim for at least a GP% of 57.5% or higher.

1. Please remember to have a Stocktake on the day you Increase your Selling Prices (MOST IMPORTANT)
2. Year End Stocktakes must be conducted no later that 2-5 days after the actual date
3. Please try to consult me before you run any Offers or Promotions which may affect the outcome of your Stocktake
4. Please ensure ALL Information required above is available on the date of your Stocktake, thank you.
How safe is our Data?
I take Date safety very seriously, all Information provided to me by you and your venue is kept strictly Private and Confidential and will only be divulged to agreed and Authorised persons within your venue. My computer systems are protected by anti-virus and hacking software and only accessed by me, they are also password protected. I also have a monitored security alarm and the Building is protected by 24 hour monitored CCTV.
